Terms & Conditions

SilverOpus is a DBA of Discover Scandinavia Tours, a registered company and seller of travel in the state of Florida. Seller of Travel Registration Number: ST39522

Please note: The terms and conditions outlined below apply to all bookings confirmed on or after May 1, 2025. For bookings confirmed prior to this date, please refer to our previous policy here.

TRAVELER RESPONSIBILITIES

Upon placing a deposit on your reservation, you will be asked to complete the Booking Acceptance Form to finalize your booking. This form is essential to confirm your reservation. If Booking Acceptance is not completed, services will not be provided, and cancellation fees will apply.

The Booking Acceptance Form outlines your trip details with SilverOpus. Before confirming your booking, please review this document to acknowledge the Terms & Conditions detailed below and the payment structure.

The lead traveler is responsible for ensuring that all travelers in their booking party receive and understand this agreement. If a Travel Advisor makes the booking, they are also responsible for providing all travelers with a copy of the agreement. SilverOpus is not responsible for any traveler’s failure to review the agreement due to oversight by the lead traveler or Travel Advisor.

During the Booking Acceptance process, travelers must verify the names listed on the reservation match each passenger’s passport, provide at least one email address and contact phone number for all trip-related communications, and acknowledge the Terms & Conditions.

TRAVEL INSURANCE

SilverOpus highly recommends that all travelers obtain adequate and valid travel insurance. We strongly advise securing coverage as soon as your booking is confirmed. Your policy should, at a minimum, include coverage for:

  • Medical expenses
  • Injury and death
  • Emergency evacuation and repatriation
  • Trip cancellation and interruption
  • Lost or delayed baggage

You are responsible for ensuring your travel insurance provides adequate coverage for your destinations and activities. SilverOpus cannot be held responsible for any costs incurred due to insufficient or invalid insurance.

Upon booking, you will have the option to waive travel insurance or indicate that you already have coverage. If no selection is made, you will receive a complimentary quote from one of our preferred travel insurance providers. This quote is provided for your convenience, and you are not obligated to purchase through us. You are welcome to choose a provider that best suits your needs.

SilverOpus is not an insurance agent, and any questions regarding coverage levels, policy conditions, or claims should be directed to your chosen travel insurance provider.

Important Note: We advise against making non-refundable or non-changeable travel arrangements (such as flights, pre/post-trip hotels, or visas) until SilverOpus fully confirms your travel itinerary.

TOUR CANCELLATION & MODIFICATION BY SILVEROPUS

Guaranteed Departures

All escorted group tours are guaranteed to depart with a minimum of two travelers, with the following conditions:

  • If four or more travelers are booked, the tour will operate at the published price.
  • If fewer than four travelers are booked, a private tour supplement may apply.

SilverOpus reserves the right to cancel or modify any tour, including private programs, without prior notice for reasons including, but not limited to:

    • Safety concerns
    • Force Majeure events (see definition below)
    • Operational challenges
    • Supplier issues (such as hotel closures or transportation strikes)

Low enrollment

Changes may include modifying accommodations, adjusting the itinerary, or substituting guides. We will notify you as soon as possible of any significant changes before departure and offer suitable alternatives.

If a tour is canceled due to low enrollment, we will notify you at least 75 days before departure and offer:

  • The option to transfer payments to another departure of the same tour (at no extra cost)
  • The option to switch to a different tour (price differences apply)
  • The option to upgrade to a private tour for an additional fee
  • A full refund of all payments made to SilverOpus

SilverOpus is not responsible for any additional costs incurred due to a canceled tour (e.g., airfare, hotels, visas). We recommend booking refundable flights and delaying independent travel arrangements until after the final payment deadline.

If your flights are delayed, and you are prevented from joining the tour on the scheduled departure date and/or time for any reason, or you choose to leave the tour early, we cannot provide a full or partial refund or travel credit toward a future tour.

FORCE MAJEURE

Force Majeure refers to unforeseeable circumstances beyond SilverOpus’ control, including but not limited to:

  • Natural disasters (hurricanes, earthquakes, wildfires)
  • Civil unrest or political instability
  • Terrorism or war
  • Pandemics, epidemics, or health emergencies
  • Strikes, labor disputes, or government actions
  • Severe weather conditions that impact travel

If a Force Majeure event forces us to cancel or modify a tour, SilverOpus shall not be liable for any additional costs incurred by the traveler (including airfare, visas, or other travel expenses).

TOUR CANCELLATION OR MODIFICATION BY THE CLIENT

Rescheduling a Tour

Travelers may request to change to a different departure, subject to availability and any applicable penalties.

  • Requests must be made in writing at least 120 days before the original departure.
  • If the change results in the original tour having fewer than the minimum required enrollment, penalties may apply.
  • Any special offers or discounts applied to the original booking will not carry over to the new dates.

Program Alterations for Private Programs (including pre/post tour arrangements for group departures)

If a traveler requests itinerary modifications after booking, a change fee will apply:

  • Fees range from $100 to $1,000, depending on the complexity of the alteration required.
  • Additional costs from SilverOpus’ suppliers may also apply.

Cancellation Fees 

  • Deposit ($1,000 per person) is non-refundable
  • 120–76 days before departure: 25% of the trip price (or the $1,000 per person deposit, if higher)
  • 75–31 days before departure: 50% of the trip price
  • 30–0 days before departure: 100% of the trip price

Cancellations must be submitted in writing to your assigned Logistics Specialist. For last-minute cancellations (within 72 hours of departure), travelers must email AND call SilverOpus to confirm.

Private Programs and any extensions to Escorted Group Departures may be subject to the cost of any penalties our suppliers apply to any bookings made at the time of the cancellation request, if those amounts exceed the penalty applied by SilverOpus.

PRICING, PAYMENTS & REFUNDS

Pricing Errors

At SilverOpus, we strive to provide transparent and accurate pricing for all our tours. However, in the event of a quoting or invoicing error, we reserve the right to correct the pricing within 30 days of booking acceptance. Should any adjustments be necessary, we will notify you promptly and work with you to address any concerns.

Grace Period for Cancellations

For your peace of mind, we also offer a 7-day grace period from when you sign your booking form. If you choose to cancel within this period, you may do so without penalty. After this timeframe, our standard cancellation policy applies.

Pricing Structure

SilverOpus operates on a fluid pricing model, meaning rates may change due to:

  • Exchange rates
  • Market demand
  • Supplier promotions or adjustments

This is a common practice within the travel industry. Therefore, we reserve the right to adjust our prices for new bookings without notice. This may result in different travelers on the same tour paying a different price. We will not enter into any correspondence regarding such price variations. 

Additionally, each tour (Group or Private) is priced as a package. We do not provide itemized breakdowns, as SilverOpus maintains confidential agreements with its service providers.

Payment Schedule 

Bookings Made More Than 121 Days in Advance

  • $1,000 per person due at the time of booking confirmation
  • 50% of the remaining balance due 120 days before departure
  • Final balance due 75 days before departure 

Bookings Made Between 120 and 76 Days Before Departure

  • 50% of the total balance due at the time of booking confirmation
  • Final balance due 75 days before departure

Bookings Made Less Than 75 Days Before Departure

  • Full payment is required at the time of booking confirmation

The payment schedule will be outlined in your Booking Acceptance Form.

Payment Methods
We accept all major credit cards. A payment link will be emailed to the lead traveler unless otherwise specified. Payment must be completed within 48 hours of receiving the link.

If you prefer to pay by bank transfer or check, please discuss this with your Sales Specialist when booking. A cash discount may be available for these payment methods. Please note that bookings paid by bank transfer or check are not confirmed until our bank has received the funds.

SilverOpus does not store credit card information and cannot process automatic charges. Travelers must make payment via the provided payment link for each installment, with payment due within 48 hours of the due date. Failure to do so may result in SilverOpus canceling the reservation.

Refunds

Refunds will be issued using the original payment method. In the event of a trip cancellation, any applicable refund will be processed within 30 days of notification.

TRAVELER REQUIREMENTS WHILE TRAVELING

Health & Physical Considerations

SilverOpus tours require participants to be in good physical and mental health. Our itineraries may include walking over uneven terrain, climbing stairs, and extended periods of standing. If you have any physical limitations, dietary restrictions, or medical conditions that may require special accommodations, please inform us in writing at the time of booking.

Healthcare facilities, standards, and services may vary depending on the destination. We encourage travelers to consult a physician for medical advice related to their trip. Some itineraries may require medical clearance from a doctor before participation.

Traveler Conduct on Group Tours

Group travel thrives on mutual respect. All travelers should conduct themselves in a manner that contributes positively to the group experience. If a traveler’s behavior is deemed disruptive or poses a risk to the safety or enjoyment of the group, SilverOpus reserves the right to remove them from the tour. No refunds will be issued for unused services, and the traveler will be responsible for any additional costs incurred due to their removal.

Luggage Policy

Due to the compact nature of our vehicles, each traveler is permitted:

  • One suitcase (maximum dimensions & weight restrictions apply based on airline and vehicle capacity)
  • One personal item (such as a backpack or duffel bag that would typically fit under the seat)

Travelers are responsible for ensuring their luggage complies with airline restrictions.

For itineraries that include a domestic flight, one checked bag per traveler is included unless otherwise stated. If a luggage transfer service is included in your itinerary, the allowance is one piece of luggage per passenger. Additional bags may be subject to extra fees, which can be quoted upon request.

No Smoking Policy

SilverOpus enforces a no-smoking policy on all tour vehicles and accommodations. Travelers are also expected to adhere to local laws regarding smoking in public places.

MISCELLANEOUS

Hotel Check-In

Many hotels typically allow check-in in the mid-afternoon. An additional room night may be required if you’d like to ensure your room is ready upon arrival. Please feel free to reach out to SilverOpus for more details and pricing. Early check-in is subject to availability and cannot be guaranteed, as it depends on the hotel’s discretion.

Room Upgrades/Special Requests

Room upgrades are typically available for an additional fee and can be requested before travel. Please ask SilverOpus for details and pricing. Requests such as adjacent or connecting rooms, specific bedding preferences, and special dietary needs should be communicated when booking. While we will make reasonable efforts to accommodate these, we cannot guarantee all requests will be fulfilled.

Hotel Changes

The hotels listed in your communications may be substituted with properties of similar standards. SilverOpus reserves the right to substitute hotels at any time with a property of similar quality. Hotel changes are not subject to refunds. Full cancellation fees will apply if you cancel your reservation due to a hotel change.

Hotel and Airline Reward Points

Hotel reward points cannot be earned or redeemed at hotels contracted by SilverOpus, and airline reward points cannot be redeemed for flights included in your tour package and reserved by SilverOpus.

Personal Photo and Video Rules & Regulations

We understand you may want to document and share your travel experience through photos or videos. However, all photo and video activities must be conducted with care and consideration for fellow guests. Filming or photographing others can be intrusive, and you may be asked to limit this activity if other guests raise concerns. Non-compliance may result in being asked to leave the trip, per the Guest Conduct policy.

When sharing photos or videos online, please take a moment to ensure you have received consent from fellow travelers before posting content that features them. Be mindful of your content and avoid disclosing sensitive or confidential information. SilverOpus is not responsible for the content or security of photos or videos you or other guests share. Sharing content is done at your own discretion.

Occasionally, we may use photos and videos taken on tour by professionals or fellow guests for promotional purposes. If you prefer your image not to be used in such ways, simply let your Tour Director know at the start of your trip, and we’ll respect your wishes.

Before departure on Group Tours, we may request guests to sign a Media Consent & Release form allowing us to use photos and videos they appear in or have taken during the tour for marketing, social media, or promotional purposes.

Photographs & Pictures

The photos and images used in promotional materials or on our website are intended to represent the facilities and attractions on tour. Actual experiences may vary depending on your specific itinerary. While we strive to provide accurate maps, please remember they reflect the itinerary at the time of publication and may change as plans evolve.
